PMTNM Executive Team Responsibilities

President
Suggested dates to complete specific tasks:
- January 7, 2025: Prepare a message for the Segue publication, emphasizing the value of PMTNM membership and upcoming events.

- Prior to State Conference: Submits to the Board, at the meeting prior to the State Conference, possible dates and sites for the following year's conference.
Ongoing tasks:
- Appoint committee chairs and members.
- Maintain close communication with all officers to ensure effective functioning of their roles.
- Update the Vice President and the Executive Secretary-Treasurer with ongoing business and plans.
- Address information requests from national offices and inform the Vice President about details needed for the annual MTNA report.
- Collaborate with the Executive Secretary-Treasurer to distribute official PMTNM stationery to all officers and committee chairs.
- Inform the national office of new officers and committee chairs.
- Write official thank-you notes.
Vice President
Suggested dates to complete specific tasks:
- January 23, 2025: Work with the Executive Secretary-Treasurer to send welcome letters to all new members, along with the latest Segue and roster.
- February 14, 2025: Present a detailed membership growth plan at the Spring Board Meeting, incorporating feedback from District Vice Presidents and other stakeholders.
- Assists the President and Executive Secretary-Treasurer in preparation and/or approval of the budget.
- Works with the Executive Secretary-Treasurer to see that a plaque of appreciation is ordered and presented to the outgoing President.
Ongoing tasks:
- Assist the President and conduct meetings in the President's absence.
- Act as the Membership Committee Chair and assist District Vice Presidents in promoting membership growth.
- Attend all Board Meetings.
- Serve as State Chair for the MTNA Foundation.
Executive Secretary-Treasurer
Suggested dates to complete specific tasks:
- January/February 2025: Ensure the PMTNM Roster is reproduced and included in the Segue mailing.
- February 7, 2025: Formulate the agenda for the Spring Board Meeting in consultation with the State President.
- June 30: Renewal dues are delinquent as of this date and delinquent members forfeit all rights to membership.
- Files non-profit organization, 501 (c) (3), federal income tax forms.
Ongoing tasks:
- Attend and record minutes of all Board meetings.
- Send copies of meeting minutes for corrections and approval.
- Maintain accurate financial records and transactions.
- Present financial reports at Board Meetings and seek approval for expenditures.
- Track memberships with the MTNA national office and share membership information.
- Handle financial matters for the State Conference.
- Serve on the Budget Committee and formulate the fiscal year budget.
- Administer the PMTNM Student Travel Fund awards.
- Perform other duties as assigned by the President or the Board.
District Vice Presidents
Ongoing tasks:
- Implement and encourage all of the state programs.
- Promote growth in membership within the district.
- Attend the Board meetings and send requested reports to the Executive Secretary-Treasurer.
Certification Chair
Ongoing tasks:
- Encourage members to apply for national certification.
- Write articles for the state news.
- Hold workshops to encourage participation in the MTNA Certification program.
- Attend board meetings and the state conference.
- Send requested reports to the Executive Secretary-Treasurer.
Committee Chairs
Ongoing tasks:
- Keep the membership informed of information in their area of responsibility.
- Maintain records of finances related to their roles and submit them to the PMTNM Executive Secretary-Treasurer monthly.
- Attend Board meetings and submit reports to the PMTNM Executive Secretary-Treasurer.
- Maintain an updated handbook of duties for their position.
