PMTNM Executive Team Responsibilities

Here is a cleaned-up to-do list with suggested dates for task completion for the executive team members of the PMTNM, based on the sources:

President

Suggested dates to complete specific tasks:

  • January 7, 2025: Prepare a message for the Segue publication, emphasizing the value of PMTNM membership and upcoming events.
  • February 7, 2025: Schedule the Spring Board Meeting and include membership growth as a key agenda item.
  • February 7, 2025: Gather agenda items from the membership and prepare discussion points.
  • Prior to State Conference: Submits to the Board, at the meeting prior to the State Conference, possible dates and sites for the following year's conference.

Ongoing tasks:

  1. Appoint committee chairs and members.
  2. Maintain close communication with all officers to ensure effective functioning of their roles.
  3. Update the Vice President and the Executive Secretary-Treasurer with ongoing business and plans.
  4. Address information requests from national offices and inform the Vice President about details needed for the annual MTNA report.
  5. Collaborate with the Executive Secretary-Treasurer to distribute official PMTNM stationery to all officers and committee chairs.
  6. Inform the national office of new officers and committee chairs.
  7. Write official thank-you notes.

Vice President

Suggested dates to complete specific tasks:

  • January 23, 2025: Work with the Executive Secretary-Treasurer to send welcome letters to all new members, along with the latest Segue and roster.
  • February 14, 2025: Present a detailed membership growth plan at the Spring Board Meeting, incorporating feedback from District Vice Presidents and other stakeholders.
  • Assists the President and Executive Secretary-Treasurer in preparation and/or approval of the budget.
  • Works with the Executive Secretary-Treasurer to see that a plaque of appreciation is ordered and presented to the outgoing President.

Ongoing tasks:

  1. Assist the President and conduct meetings in the President's absence.
  2. Act as the Membership Committee Chair and assist District Vice Presidents in promoting membership growth.
  3. Attend all Board Meetings.
  4. Serve as State Chair for the MTNA Foundation.

Executive Secretary-Treasurer

Suggested dates to complete specific tasks:

  • January/February 2025: Ensure the PMTNM Roster is reproduced and included in the Segue mailing.
  • February 7, 2025: Formulate the agenda for the Spring Board Meeting in consultation with the State President.
  • June 30: Renewal dues are delinquent as of this date and delinquent members forfeit all rights to membership.
  • Files non-profit organization, 501 (c) (3), federal income tax forms.

Ongoing tasks:

  1. Attend and record minutes of all Board meetings.
  2. Send copies of meeting minutes for corrections and approval.
  3. Maintain accurate financial records and transactions.
  4. Present financial reports at Board Meetings and seek approval for expenditures.
  5. Track memberships with the MTNA national office and share membership information.
  6. Handle financial matters for the State Conference.
  7. Serve on the Budget Committee and formulate the fiscal year budget.
  8. Administer the PMTNM Student Travel Fund awards.
  9. Perform other duties as assigned by the President or the Board.

District Vice Presidents

Ongoing tasks:

  1. Implement and encourage all of the state programs.
  2. Promote growth in membership within the district.
  3. Attend the Board meetings and send requested reports to the Executive Secretary-Treasurer.

Certification Chair

Ongoing tasks:

  1. Encourage members to apply for national certification.
  2. Write articles for the state news.
  3. Hold workshops to encourage participation in the MTNA Certification program.
  4. Attend board meetings and the state conference.
  5. Send requested reports to the Executive Secretary-Treasurer.

Committee Chairs

Ongoing tasks:

  1. Keep the membership informed of information in their area of responsibility.
  2. Maintain records of finances related to their roles and submit them to the PMTNM Executive Secretary-Treasurer monthly.
  3. Attend Board meetings and submit reports to the PMTNM Executive Secretary-Treasurer.
  4. Maintain an updated handbook of duties for their position.
