PMTNM Calendar Suggestion for 2025

Here is a detailed 2025 calendar for the Professional Music Teachers of New Mexico (PMTNM), drawing from the sources and our conversation history, with responsibilities assigned to specific roles.

I January 2025: Winter Planning & Preparation

State President

  • January 7, 2025: Prepare a message for the Segue publication, emphasizing the value of PMTNM membership and highlighting upcoming events and opportunities.

Executive Secretary-Treasurer

  • January 7, 2025: Submit candidate roster to the PMTNM President.
  • January/February 2025: Ensure the PMTNM Roster is reproduced and included in the Segue mailing.

Segue Editor

  • January 15, 2025: Include membership information, success stories, and a calendar of events in the winter Segue issue.

Vice President (Membership Chair)

  • January 23, 2025: Work with the Executive Secretary-Treasurer to send welcome letters to all new members, along with the latest Segue and roster.

Student Activities Chair

  • January 30, 2025: Ensure that PMTNM Student Activities forms are included in the January Segue to encourage student participation.

II February 2025: Spring Meeting & Strategic Action

State President

  • February 7, 2025: Schedule the Spring Board Meeting and include membership growth as a key agenda item.
  • February 7, 2025: Gather agenda items from the membership and prepare discussion points.

Executive Secretary-Treasurer

  • February 7, 2025: Formulate the agenda for the Spring Board Meeting in consultation with the State President.
  • February 7, 2025: Send agenda copies to board members prior to the meeting.
  • February 7, 2025: Provide a membership report at the Spring Board Meeting, including data on new members, renewals, and areas for improvement.

Conference Chair

  • Spring Board Meeting: Present possible clinicians and a proposed schedule of events for discussion.

Budget Committee

  • Spring Board Meeting: Present the proposed budget for the new fiscal year to the Executive Board for approval.

All Officers and Committee Chairs

  • February 7, 2025: Submit reports to the Executive Secretary-Treasurer for the Spring Board Meeting.

Vice President (Membership Chair)

  • February 14, 2025: Present a detailed membership growth plan at the Spring Board Meeting, incorporating feedback from District Vice Presidents and other stakeholders.

All Officers

  • February 21, 2025: Finalize action items and assign responsibilities for implementing the membership growth plan.

III March 2025: Implementation & Coordination

District Vice Presidents

  • Ongoing: Implement and encourage all state programs within their districts.
  • Ongoing: Promote membership growth within the district.

Certification Chair

  • Ongoing: Encourage members to apply for national certification, write articles for the state news, and hold workshops or meetings to encourage participation in the MTNA Certification program.

All Committee Chairs

  • Ongoing: Keep the membership informed of pertinent information in their area of responsibility via reports in the Segue.

IV April-May 2025: Assessment and Planning

All Officers

  • Assess the success of membership initiatives undertaken thus far.
  • Adjust strategies based on feedback and results.

State President

  • Make an effort to respond to information desired from the national offices and should acquaint the Vice President with the pertinent facts needed to prepare the annual report for MTNA.

Executive Secretary-Treasurer

  • Work with MTNA national office to track memberships (renewal and new).

V June 2025: Year-End Review

Executive Secretary-Treasurer

  • June 30: Renewal dues are delinquent as of this date and delinquent members forfeit all rights to membership.

All Officers

  • Prepare reports of their activities for the year.

VI Ongoing Responsibilities

Executive Secretary-Treasurer

  • Maintain accurate records, handle finances, and fulfill duties as assigned by the President or the Board.

District Vice Presidents

  • Act as members of a statewide membership committee and assist in the conduct of their respective district organizations.

All Committee Chairs

  • Fulfill general duties such as keeping the membership informed, maintaining records, attending meetings, and keeping handbooks up to date.

By adhering to this calendar and fulfilling these responsibilities, PMTNM can effectively manage its activities throughout 2025.
